How cancellations, changes, and refunds work once a booking is confirmed. This is our standard policy; a written quote or confirmation may set different terms for a specific or large booking.

2. Cancellation Windows
For standard confirmed bookings, cancellation fees are based on how far in advance you cancel, measured from the scheduled pickup time:
- 48+ hours before pickup: full refund.
- 24–48 hours before pickup: 50% cancellation fee.
- 2–24 hours before pickup: 75% cancellation fee.
- Less than 2 hours before pickup, or a no-show: 100% — no refund.
3. No-Shows
A no-show occurs when the passenger is not available within the complimentary wait window and has not contacted the concierge to adjust the booking. No-shows are charged in full. See the Wait Time Policy for the complimentary windows that apply to your booking.
4. Changes to a Booking
We accommodate changes — pickup time, location, vehicle class, passenger count, or added stops — whenever the operator and vehicle can be re-coordinated in time. Changes requested close to pickup may be treated as a cancellation and rebooking if they cannot be accommodated. An approved change may adjust the price, which is re-confirmed in writing before it takes effect.
5. Large & Event Bookings
Weddings, multi-day roadshows, group programs, and other large bookings are billed on a deposit schedule — typically 50% before the trip and 50% after — and may require longer cancellation notice due to vehicle staging and operator scheduling. The deposit and cancellation terms for these bookings are stated in your written confirmation and control over the standard windows above.
6. Special Dates & High-Demand Periods
Some dates — holidays, major events, and peak travel periods — may require longer cancellation notice because operator availability and vehicle staging are committed further in advance. When a longer notice window applies, it is disclosed at the time of booking or in your written confirmation.
7. Weather, Emergencies & Force Majeure
If severe weather, an emergency, or another event outside anyone's control makes safe service impossible, we work with you to reschedule. Where the trip cannot proceed at all, a full refund is issued with no penalty. We are not responsible for delays outside our control, including traffic, road or airport closures, and government or security delays; in those situations we make every effort to communicate and re-coordinate.
